How protected health information is handled when you use this platform and connect with an independently licensed mental health professional.

Last updated: 2026. This HIPAA Policy explains how QuickESALetter.org approaches protected health information (PHI) and your related rights. It is provided for transparency and is not a substitute for the Notice of Privacy Practices supplied by the licensed mental health professional who evaluates you.

1. Our role

QuickESALetter.org is a technology and referral platform. The independently licensed mental health professionals you connect with are responsible for their own clinical records and, where applicable, act as HIPAA-covered entities. We support the process with administrative and technology services and handle your information as described in our Privacy Policy.

2. What PHI we may handle

To match you with an appropriate licensed mental health professional and facilitate your evaluation, we may process information such as your name, contact details, state, and the intake responses you choose to provide. Clinical evaluation notes and determinations are created and maintained by the licensed mental health professional.

3. How information is protected

We use reasonable administrative, technical, and physical safeguards — including encrypted connections and access controls — to protect the information we handle. Telehealth consultations are conducted using systems designed to keep your information confidential.

4. How information is used and shared

Your information is used to provide and improve the service, to connect you with a licensed mental health professional, and to process payment. It is shared with that licensed mental health professional and with service providers who help operate the platform. We do not sell your information. We disclose information when required by law.

5. Your rights

Depending on your state and the licensed mental health professional’s obligations, you may have the right to access, amend, or obtain a copy of your health records, to request restrictions, and to receive an accounting of certain disclosures. Requests for clinical records should be directed to the licensed mental health professional who evaluated you; requests about platform data can be sent to us.
